Shared Facility Schedules

A paper schedule book can only be in one place at one time. The Point and Click electronic scheduling system is available to many users at the same time. The users can efficiently schedule client sessions, couples and group sessions, staff meetings and facility resources such as conference rooms. When appointments are made or changed, the update automatically appears on the screens of anyone viewing the scheduler. Shared facility schedules eliminate booking bottlenecks and booking conflicts.

Increased Productivity

Appointment No Shows are lost productivity to a Counseling Center. The Point and Click scheduling system has numerous features to help track and reduce No Show rates. There are specific reports to monitor No Show rates so a Counseling Center can easily determine its No Show performance. These reports can also track No Show performance over time in order to monitor improvements. Built into the scheduling system are features designed to lower no show rates. E-mail reminders are automatically sent to clients 24 hours before the appointment. These reminders usually have a dramatic effect on reducing no show rates. Clients with particularly poor show rates are also easily singled out, because the system tracks the cumulative no show rate for each client in the system. Individuals with chronic no show rates can automatically be sent letters or even billed for wasted appointments.

Reduction in Registration Errors

Automatic interfaces to the University's student information systems significantly reduces the work required to register a new client. Automatic interfaces also reduce the incidence of errors such as duplicate records because the system checks for duplicates before allowing a new client to be entered into the database.

Outstanding Reporting

The Point and Click products have outstanding reporting capabilities. Reporting data is automatically captured as a byproduct of using the scheduling and EMR system. There is no additional data entry required to populate reports. The system has a wide range of scheduling reports, productivity reports, utilization reports, financial reports, diagnosis reports and many more. There are convenient built-in reports in the registration, billing, scheduling and EMR subsystems. There are also graphical time based reports available in the OpenMeasures product and sophisticated ad-hoc reporting in the OpenReport product.

Support for Satellite and Outreach Facilities

Supporting additional Satellite and Outreach facilities across campus presents special challenges for counseling centers. The Point and Click scheduling and EMR products make supporting remote satellite facilities much easier. Clients can be scheduled into whichever facilities are most convenient for them. Their appointments can be booked from any of the other facilities or even over the optional web appointment booking interface. And regardless of the appointment facility, client charts are instantly available to providers via the online medical record.

Privacy and Security

Because of the sensitivity of case notes in Counseling and Mental Health Services, privacy and security measures are especially important. OpenSuite supports the HIPAA compliance standards for privacy and security. It provides secure login capabilities, extensive permissions control by location and role, biometric authentication, unattended automatic logoff and special privacy features to keep publicly displayed information confidential.

Medical Facility Integration

Point and Click Solutions also provides scheduling and EMR products to the medical side of the student health services. These products can be deployed in an integrated fashion with Counseling and Psychological services where medications and allergies are shared between the medical and counseling notes. Integrated Medical/Psychiatric deployments can reduce organizational costs by sharing server computers. This integration also improves the quality of patient care by sharing the medication component of the charts, helping avoid drug/drug interactions between Medical and Psychiatric services.

The Point and Click EMR supports the capture of case notes via dictation services, voice recognition or structured templates. We encourage the use of structured templates where possible in order to provide consistent documentation standards throughout the organization.

Instant Controlled Access to Legible Case Notes

Electronic Medical Records give authorized providers instant access to their case notes from their office or satellite locations. The notes are typed so there are no issues of handwriting legibility. All access is controlled by permissions system allowing the organization to enforce access policies. All access to the charts is tracked, ensuring that there is no inappropriate use of the chart.

Accurate Diagnosis Code Capture and Utilization Statistics

The Point and Click EMR supports the capture of multi-access DSM diagnosis codes. The diagnoses are defaulted from the prior visit to help minimize data entry. These codes in conjunction with appointment and visit data can provide detailed client utilization statistics for the university.

Designed for Student Health

Point and Click's OpenSuite products were specifically designed to meet the needs of student health counseling centers. The registration system was built to support interfaces to the University's student information system. The registration data is university friendly, supporting fields such as graduation date, matriculation date, client's school/department, local address, parent's address, office address and much more.

OpenSchedule® - is a very powerful and extremely intuitive Appointment Scheduler. Some of its features are: Automatic E-mail Reminders, Drag and Drop Support for Urgent Care, Group Education appointments, Recurring Appointments, Drag and Drop Rescheduling, Features for Physical Therapy and Sports Medicine, Support for Outreach and Satellite Clinics.

OpenChart™ - is an Electronic Medical Record and Order Entry System designed for the needs of student health. OpenChart's comprehensive template library includes over 200 template sections for recording a wide range of encounters. OpenChart™ also has intelligent template sections for Prescription Writing, Lab Ordering, Radiology Ordering, Procedure Ordering and Referral Management.
OpenChart's medical record includes support for Immunization Tracking and Compliance, Diagram Editing, Digital Cameras, In House Labs, Real Time Lab Interfaces to outside labs and Automated Patient Ledger Letter Writing Component.

OpenCommunicator™ - is a Web-based patient communications module providing secure HIPAA compliant communications between a patient and the health service. OpenCommunicator™ supports Entrance Medical Forms, Web Appointments and Secure Messaging. OpenCommunicator's Entrance Medical Forms significantly reduce the data entry costs for collecting Medication, Allergy, Family, Social and Immunization Histories. The Web Appointment component reduces the staffing overhead associated with booking simple appointments such as immunization and allergy clinics. The secure messaging component allows for the secure delivery of lab results to patients. All secure communications are stored in a patient's medical record and not an unprotected e-mail buffer.

OpenMeasures® - is a sophisticated time based report generator. It contains a library of reports with various filters and grouping controls allowing data to be filtered from an individual provider to an entire department or facility. OpenMeasures® includes reports such as Average Waiting Room Time or Patients New to a Provider or Appointments Made Outside of Clinical Hours. Results can be graphed, printed to tables or exported to other programs.

OpenReport™ - is a custom ad hoc report writing tool. OpenReport™ provides access to every field within the system and is able to run reports with those fields juxtaposed in myriad combinations.
Essentially, OpenReport™ is a product with a GUI interface allowing the non-technical user to run SQL queries. Additionally, these queries or reports may then be saved, exported to Access or Excel or other report tools.
